Common Threads Quilt Guild Board Meeting
February 23, 2010

Present:  Janet Armstrong, Jackie Jones, Robin Allen, Gloria Scott-Tibbs, Kathy Zaebst, Marty Rigo, Vicky Price, Kelley LaPlace, Kathy Gordon, Marsha Beane, Karla Zadnik, Bev Fuchs, Claire Paul

Spring Retreat May 21-24

  • Connie has agreed to do this one last retreat with Janet's help. 
  • Direct any complaints to Janet.

Ways and Means Committee:

  • National Quilting Day set up will be Friday night/Saturday morning
  • Two Sew-in days – Ways & Means will coordinate with Bev to schedule these.  Jackie’s church on Sawmill Road is available.  Will recruit helpers from the list of members who volunteered to be on a committee.
  • April Garage Sale -  Kathy Gordon will coordinate.  Members will pay to rent a table, and keep their own proceeds.  Large items can be advertised on the website.  Have one table of donated items, the money will go to the guild.
  • Ways & Means has fund raising dinners and fat quarter lottos planned for the year.  Chris Meeks is in charge.
  • Pins – Ways & Means will order 10th Anniversary pins.  They won't be here in time for National Quilting Day, but will be sold at subsequent meetings.

Charity Quilts:

  • Bev will work with Ways & Means to plan these and determine locations.

2010 Challenge:

  • Connie will distribute these at the next few meetings, until they're gone.  She has 80 packets. They sell for $5, which goes to the Service quilts budget.
  •  The challenges are due at the July picnic/meeting.
  • The membership will vote for winners in the following categories:
    • Most intricate and/or interesting piecework
    • Most precise appliqué
    • Most effective use of embellishment
    • Most representative of the 2010 Challenge Theme, "My view of Common Threads".
  • The Board needs to decide if we will give out pins for participation.

National Quilting Day/Tenth Anniversary – March 20:

  • We can fit 46 people with sewing machines at tables.  60-65 without machines.  Marty will ask when they sign up if they need a table.
  • Marty will take reservations; she has a form made up.  They can sign up tonight or mail it.  Marty will not be there.
  • We have 50 gift bags.
  • Parking is difficult – have a drop off zone.  Carpool if you can.

Committee/Officer Notebooks:

  • We will go over the notebooks at next month's Board meeting, which will be before the March meeting.

Revisit By-laws:

  • Karla nominated Melissa to form a committee to review the by-laws.  Should we revise them?  Are we following them?  Does the Board need to meet on a specific date?

Presenting to the guild at large:

  • Items need to go through the board before being presented at the meetings.
  • Anyone planning an event needs to have purchases, give-aways, or incentives approved by the board.
  • You must have receipts to be reimbursed for expenses.
  • Copies of all contracts need to go to Marty.
  • A person can only chair one committee at a time.  This is so as many members as want to can serve on a committee.  If we get to a point where we have a shortage of volunteers, we can change this.

Emails to the guild:

  • The newsletter will come out the week before the meeting (after Tuesday).
  • Claire will email the board requesting items to be included in the newsletter.
  • Check with the Board before sending a broadcast email; maybe they can be combined so the membership is not overwhelmed with emails.

Behavior of the Board members.

  • Be professional.

Other business:

  • Marsha will book the Aladdin Shrine for the August 24 meeting for $150. (Vickki Pignatelli)  The workshop is August 25 at Quilt Beginnings.
  • Gloria has booked Xenos for the July 27 picnic for $100.  She has a contract.
  • Should we pay the church less this year since we are having fewer meetings there?  We vote to pay them $300, as in past years.
  • Treasurer’s report – Marty.  We have $11,360.59.  A lot because of retreat or bus trip deposits.
  • Suggestion – use Aladdin for Quilting Day in the future – cheaper and easier to park than the Jeffrey.
  • Let's use another room in the church for the Board Meetings.
  • NQA – we can have free insurance and a quilt show announcement in their magazine, Quilting Quarterly, because we are a chapter.  Karla will serve as the NQA chapter coordinator.
  • The guild meeting will be run like a meeting.  The President will ask for comments and questions.
  • We will introduce all the committees at tonight's meeting.

The meeting was adjourned at 6:20pm
